Checks lab values against the specification, releases batches and presents the evidence during audits.
Lab reports arrive by upload or e-mail. The AI reads the measured values, each with a confidence score, and you accept them with one click, logged.
The test plan compares every actual value with its target value, including ranges and results such as “<0.01”. You see deviations immediately, and the approval is documented.
The certificate of analysis for your customers is created at the push of a button, with versioning. Statistics show trends across batches and periods.
Who in your company benefits?
Checks the certificates of analysis from raw material suppliers before the goods are processed.
Needs the certificate of analysis for the customer quickly and in a clean format.
Commissions external labs and does not want to transfer results into Excel by hand.
Lab values belong in your data, not in a folder full of PDFs. Certiflow reads them with AI and checks them against your specification.
- Every value traceable
- Every deviation visible
- Every certificate versioned

By upload or e-mail A rule assigns the report to the batch and starts the AI.
Applying is logged Only “Apply” turns a value into your data, with timestamp and person.
Ranges and “<0.01” The test plan understands operators, ranges and detection limits.
Dry run, suggestion, execution Rules for incoming e-mails run as automatically as you want.
From lab report to approval
- Receipt
The lab report arrives by upload or e-mail and is assigned to a batch, product or supplier.
- Extraction
An extractor reads the measured values, each with its confidence score.
- Apply
You review the values and accept them into your data, as a separate, logged step.
- Test plan
The test plan compares actual and target values and shows the status of each item.
- Assessment
Manual test items such as visual inspection or sensory evaluation are approved or rejected.
- Approval
Your QA approves the test plan and creates the certificate of analysis for the customer.
Features
Extractors read defined fields from lab reports: numbers, quantities with units, ranges, dates and text. Each value appears under “Extracted data” with a confidence score. Only “Apply” turns it into an attribute, and this step is logged.
A rule describes in plain language what should happen to an incoming e-mail: assign the lab report to the right batch, run the extractor, accept the values. It runs as a dry run, as a suggestion for approval, or directly.
Measured values and limits are attributes of a product, batch or supplier, limits as a range and, if required, per target group. If two lab reports provide the same parameter, both values are kept, each traceable to its file.
A test plan bundles all test items up to approval. The attribute comparison checks the actual value against a target value from the specification or a fixed value and understands ranges, operators and results such as “<0.01”. If a value changes, it is re-evaluated.
What no instrument measures, such as a visual inspection or sensory evaluation, your team assesses directly in the test plan: approve, reject with a reason, or “Not applicable” with a justification. A final approval waits until all other items have been assessed.
A dedicated overview shows all test plans awaiting approval, with their deviations. Each row expands into the comparison table. An administrator can override a result, but only with a justification, and that too is logged.
At the push of a button, Certiflow generates the certificate of analysis as a PDF with test, specification, result and verdict per test item. If a measured value is corrected later, the old certificate remains unchanged and the new one gets the next version number.
For each type of analysis, the statistics show the mean, minimum, maximum and standard deviation across the batches of a period, plus the trend of values over time and a breakdown by country or type.
What you use it for
Mycotoxins, heavy metals and plant toxins against the maximum levels of Reg. (EU) 2023/915 or your own specification.
Microbial counts and pathogens against the criteria of Reg. (EC) 2073/2005 or your own requirements.
Pesticide residues, often reported as “<0.01” or “n.d.”, against your limits and those of Reg. (EC) 396/2005.
Test reports on total fluorine and individual PFAS against the PPWR limits, for your technical documentation.
Every limit is a target value in the test plan, such as the PPWR’s PFAS limits.
per individual PFAS, targeted analysis
sum of all PFAS, targeted analysis
total PFAS, including polymeric PFAS
lead, cadmium, mercury and chromium VI combined, per material or component
Every value can be traced back to its lab report.
The history of each attribute shows whether a value was extracted, imported, entered in the portal or captured by hand.
Applied values, assessments, approvals and overrides are all logged.
Earlier certificates of analysis and specifications are kept exactly as they were issued.
Frequently asked questions about Certiflow Lab
Which lab reports can Certiflow read?
PDF lab reports, including scanned ones, which are captured using text recognition. They reach Certiflow by upload or e-mail, and a supplier can also upload them in the supplier portal.
Which values does the AI read?
The fields you define in the extractor: numbers, quantities with units, ranges, dates and text. For each value, Certiflow shows a confidence score, i.e. how certain the AI is.
Do AI values end up in my data unchecked?
No. Applying a value is a separate, logged step. Automation rules run, as you choose, as a dry run, as a suggestion for approval, or directly.
How does a report reach the right batch?
Via an automation rule you describe in plain language. It assigns the attachment of an incoming e-mail to the batch, product or supplier and starts the extractor.
Are units converted?
No. Certiflow accepts a value with the unit given in the report. If it is in a different unit from the attribute, it is not accepted rather than silently converted.
How does the comparison with the specification work?
The test plan compares the actual value with the target value from the product specification or with a fixed value. It understands ranges, operators and results such as “<0.01” and re-evaluates as soon as a value changes.
Can sensory evaluation and visual inspection be included?
Yes, as manual test items in the test plan: approve, reject with a reason, or “Not applicable” with a justification. A final approval waits until all items have been assessed. If an administrator overrides a result, they must give a justification.
Can I create certificates of analysis for customers?
Yes, as a PDF at the push of a button from a template, with test, specification, result and verdict per item. Certificates are versioned: if a value is corrected later, the old certificate remains unchanged and the new one gets the next version number.
Does Certiflow help with IFS or BRCGS audits?
Certiflow provides the evidence: for each value the source file, its origin and history, plus the log of every acceptance and approval. Certification itself remains your company’s responsibility.
Can I analyse trends across batches?
Yes. For each type of analysis, the attribute statistics show the mean, minimum, maximum and standard deviation over a period, plus the trend of values and a breakdown by country or type.
